If you experimented with Google Chat or Spaces a few years ago, it\u2019s time to take another look because Google has added many new features, four of which are highlighted below:<\/p>\n<ul>\n<li>A new role to give people more management options for spaces.<\/li>\n<li>The ability to share spaces within the organization.<\/li>\n<li>An option to create an announcement-only space.<\/li>\n<li>Support for third-party apps.<\/li>\n<\/ul>\n<p>Some of these changes have been driven by <a href=\"https:\/\/workspaceupdates.googleblog.com\/2023\/04\/new-community-features-for-google-chat-and-an-update-currents%20.html\" target=\"_blank\" rel=\"noopener noreferrer\">Google\u2019s announcement to retire Currents in July 2023<\/a>. Currents has served as a central chat channel for some organizations. For people who previously used Currents, the following enhancements will likely help ease the transition from Currents to Spaces in Google Chat.<\/p>\n<p>Jump to:<\/p>\n<h2 id=\"space-manager\">How to leverage the Space Manager role<\/h2>\n<p>Anyone who creates a new space automatically will have <a href=\"https:\/\/workspaceupdates.googleblog.com\/2022\/02\/define-and-manage-chat-spaces-space.html\" target=\"_blank\" rel=\"noopener noreferrer\">Space Manager capabilities<\/a>, which include the ability to assign a Manager role to other people in the organization, adjust who may manage members and groups and modify space permissions. Additionally, a space may be set so that either all members or only managers may use @all to convey a message to everyone in the space. Access permissions by going to Gmail | Spaces | Select A Space | Select the down-pointing arrow to the right of the space name, choose Space Settings, then scroll to the bottom of the page (<strong>Figure C<\/strong>).<\/p>\n<p><strong>Figure C<\/strong><\/p>\n<figure id=\"attachment_4082238\" aria-describedby=\"caption-attachment-4082238\" class=\"wp-caption alignnone\"><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-4082238\" src=\"http:\/\/cloudnewshub.com\/wp-content\/uploads\/2023\/05\/spaces-in-google-chat-4-new-features-for-better-connectivity-and-management-3.jpg\" alt=\"Adjusting permissions in Google Spaces manager\" width=\"1400\" height=\"788\"><figcaption id=\"caption-attachment-4082238\" class=\"wp-caption-text\">A Space Manager may adjust permissions to manage who may modify space details, turn history on and off, as well as use @all to mention members.<\/figcaption><\/figure>\n<p>A Space Manager may <a href=\"https:\/\/workspaceupdates.googleblog.com\/2022\/05\/space-managers-can-now-delete-messages-google-chat.html\" target=\"_blank\" rel=\"noopener noreferrer\">delete space messages<\/a> that may be off-topic, offensive or otherwise not conducive to a productive conversation. To remove a message, access your space on the web, place your cursor over the content of a post, then select the three-dot (i.e., More actions) menu and then Delete.<\/p>\n<h2 id=\"sharing\">How to encourage Space discovery and sharing<\/h2>\n<p>Each space may be configured to allow colleagues in your organization to access the space either via a shared link or a search. Spaces shared in this way are accessible to anyone in the organization, which works well for broad interest topics, such as policy discussions, how-to tips or cultural concerns (e.g., books, research or focused interest group communities).<\/p>\n<p>When a space owner first <a href=\"http:\/\/workspaceupdates.googleblog.com\/2022\/03\/share-spaces-in-google-chat.html\">creates a space<\/a>, they may choose whether the space will be either restricted (i.e., only invited members may access it) or discoverable (i.e., anyone in the organization may access it with search or a link). A <a href=\"https:\/\/workspaceupdates.googleblog.com\/2022\/07\/space-managers-can-change-access-to-new-and-existing-spaces-in-google-chat.html\" target=\"_blank\" rel=\"noopener noreferrer\">Space Manager may modify the setting<\/a> at any time by going to Gmail | Spaces | Select A Space | select the down-pointing arrow to the right of the space name, choose Space Settings, then under Access adjust the setting either to Restricted or your organization\u2019s domain (e.g., WolberWorks, as shown in <strong>Figure D<\/strong>). You may not be able to modify some older spaces that were created before this feature was added.<\/p>\n<p><strong>Figure D<\/strong><\/p>\n<figure id=\"attachment_4082237\" aria-describedby=\"caption-attachment-4082237\" class=\"wp-caption alignnone\"><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-4082237\" src=\"http:\/\/cloudnewshub.com\/wp-content\/uploads\/2023\/05\/spaces-in-google-chat-4-new-features-for-better-connectivity-and-management-4.jpg\" alt=\"Access all in domain in Google Spaces\" width=\"1400\" height=\"788\"><figcaption id=\"caption-attachment-4082237\" class=\"wp-caption-text\">A Space Manager may modify whether a space is accessible to everyone in the organization or restricted to selected members.<\/figcaption><\/figure>\n<h2 id=\"announcements\">How to configure a space for announcements<\/h2>\n<p>Many organizations will want to configure at least one space for <a href=\"http:\/\/workspaceupdates.googleblog.com\/2023\/04\/announcements-in-google-chat.html\">announcements<\/a>. The simplest way to do so is to select the Advanced option when you create a new space and then check the box next to Only Space Managers Can Post (<strong>Figure E<\/strong>). Then, follow the steps above to add every person you want to allow to post to the group as a Space Manager.<\/p>\n<p><strong>Figure E<\/strong><\/p>\n<figure id=\"attachment_4082236\" aria-describedby=\"caption-attachment-4082236\" class=\"wp-caption alignnone\"><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-4082236\" src=\"http:\/\/cloudnewshub.com\/wp-content\/uploads\/2023\/05\/spaces-in-google-chat-4-new-features-for-better-connectivity-and-management-5.jpg\" alt=\"Google Space manager-only announcements\" width=\"1400\" height=\"788\"><figcaption id=\"caption-attachment-4082236\" class=\"wp-caption-text\">Many organizations will want to create at least one space where only Space Managers may post. Typically, this sort of space would be used for announcements intended either for the whole organization or restricted to space members.<\/figcaption><\/figure>\n<p>This works well for entire organization announcement spaces, where access is allowed for everyone in the domain, as well as for selected groups, where access is restricted to added members only. The latter, for example, might be used to convey announcements to people at a geographic site or assigned to a specific team. Announcement channels might best be used for topics where member discussion is neither useful nor necessary.<\/p>\n<h2 id=\"third-party-apps\">How to connect third-party apps to centralize work<\/h2>\n<p>You may <a href=\"https:\/\/workspaceupdates.googleblog.com\/2022\/05\/update-for-third-party-devops-integrations-for-google-chat-.html\" target=\"_blank\" rel=\"noopener noreferrer\">add many popular apps<\/a>, such as Asana and Salesforce, as shown in <strong>Figure F<\/strong>, into a Google Chat space. Note that you need to sign in to the connected apps prior to the first use.<\/p>\n<p><strong>Figure F<\/strong><\/p>\n<figure id=\"attachment_4082235\" aria-describedby=\"caption-attachment-4082235\" class=\"wp-caption alignnone\"><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-4082235\" src=\"http:\/\/cloudnewshub.com\/wp-content\/uploads\/2023\/05\/spaces-in-google-chat-4-new-features-for-better-connectivity-and-management-6.jpg\" alt=\"Connect third-party apps such as Salesforce or Asana to support centralized discussions about work across various cloud systems in Google Spaces.\" width=\"1400\" height=\"788\"><figcaption id=\"caption-attachment-4082235\" class=\"wp-caption-text\">Connect third-party apps such as Salesforce or Asana to support centralized discussions about work across various cloud systems in Google Spaces.<\/figcaption><\/figure>\n<p>Equally important, a Google Workspace administrator may <a href=\"https:\/\/workspaceupdates.googleblog.com\/2023\/03\/admins-install-chat-apps-for-use-in-direct-messages.html\" target=\"_blank\" rel=\"noopener noreferrer\">add apps<\/a> for use in Chat by people in the organization. Once an app has been added, press the slash key ( \/ ) to display a list of options. Slash commands allow you to perform tasks such as looking up a contact or account and adding or completing a task, all within the space.<\/p>\n<p>In essence, the space serves as the common area for discussions about work that may, in part, rely on a wide range of connected cloud systems. Explore the Google Workspace Marketplace for a <a href=\"https:\/\/workspace.google.com\/marketplace\/search\/?host=chat\" target=\"_blank\" rel=\"noopener noreferrer\">full list of apps that work with Google Chat<\/a>.
